About CSUDH Toro Auxiliary Partners:

The California State University, Dominguez Hills Toro Auxiliary Partners ("TAP") is a non-profit organization and was incorporated in 1968 as a partner of California State University, Dominguez Hills (CSUDH) to provide supplemental services that enhance core academic programs which are an integral part of the University's educational mission. CSUDH is a highly diverse, metropolitan university primarily serving the South Bay area of Los Angeles County. CSUDH is one of 23 campuses that comprise the California State University System.

Position Summary:

Under the general direction of the TAP Controller, the Administrative Assistant will provide general accounting support to the TAP office and auxiliary constituents on the CSUDH campus in the areas of project management, financial reporting, accounts payable and accounts receivable.

Salary Range: $50,250 - $59,500

Duties and Responsibilities:
 

  • Assist procurement department with full cycle purchasing functions including creation of purchase orders (POs).
  • Prepare daily, weekly, monthly, quarterly, and annual journal entries, accounts receivable invoice entry, and accounts payable invoice entry.
  • Prepare reports as requested and assist with performing routine and non-routine tasks and other special projects as deemed necessary.
  • Assist with the month-end and year-end closing procedures and the preparation of monthly/annual financial statements.
  • As needed, perform a regular, diligent review of the general ledger and work with the TAP Senior Accountants to correct any identified errors or omissions.
  • Assist with ensuring all data in the accounting system is accurate and up to date.
  • Assist the TAP team with its annual financial audit, and routine and ad-hoc requests.
  • Provide exemplary customer service (i.e., greetings, phone calls, information, provide directions, etc.) for the front desk area of the TAP central office and ensure reception area is covered during office hours (8 am to 5 pm).
  • Electronically deposit checks and cash receipts for multiple auxiliaries. General filing including cash receipts, checks, etc. Pick up and distribute various checks (i.e., stipends, advances, reimbursements, and payroll).
  • Actively maintain the Controller’s daily calendar to anticipate scheduling issues, manage changes and resolve challenges. Complete Controller expense reports, and forms (i.e., hospitality, travel and other) and other assignments as requested.
  • Train student assistants in administrative, accounting and reception duties, as applicable.
  • Sort and distribute incoming mail and respond to general inquiries by forwarding to appropriate personnel.
  • Promptly communicate and accurately report time off and time worked.
  • Abide by policies, practices and procedures for TAP and subsidiary entities; develop and maintain effective communication with other entities to assure awareness of (and compliance with) all necessary requirements.

Minimum Qualifications and Experience:

The following describes the ideal experience and attributes a successful candidate will offer:

  • Must hold a bachelor's degree or higher in Business Administration, Accounting, or a related field.
  • At least two years of administrative support experience or 0-3 years of accounting experience.
  • Excellent analytical and reasoning skills

Knowledge, Skills, and Abilities:

  • Excellent customer service and communication skills.
  • Excellent critical thinking, interpersonal and organizational skills.
  • Ability to multi-task and thrive under pressure; maintain a high degree of attention to detail and the ability to prioritize multiple tasks/requests/assignments and manage multiple priorities. Ability to function effectively under tight deadlines and high volume.
  • Ability to quickly learn and utilize technology/computerized systems to increase efficiency, including Adobe Sign, Dropbox, Zoom, excel, word processing, e-mail, internet, internal and external website portals, etc.
  • Ability to work in a collaborative manner with TAP, the University, and the California State University System.
  • Within 6 months, ability to learn intermediate Microsoft Office techniques, including but not limited to Microsoft Excel Pivot tables and VLOOKUP’s, Microsoft PowerPoint presentations, Microsoft Word memo and procedure creation, and Microsoft Outlook

Employee at TAP is on an at will basis and can be terminated by either an employee or TAP at any time with or without case or advanced notice. Permanent status can neither be obtained nor granted.
