Position Summary
The Operations Coordinator is responsible for the administrative, fiscal, data, and compliance operations of the California College Corps program. This position ensures accurate data management, compliance with state and university requirements, and coordination of student stipend disbursements.
The Operations Coordinator works closely with the Administrative Director/Program Manager, Program Coordinator, Financial Aid, and campus administrative units (i.e. TAP) to ensure the program operates efficiently and remains audit-ready.
Essential Responsibilities
- Data Collection & Management
- Maintains California College Corps participants, service, and partner data systems (i.e., America Learns, e-grants, additional required systems)
- Ensures accurate and timely data entry, verification, and updates.
- Monitors data quality and completeness.
- Generates internal reports as needed.
Position Information
Employment at Toro Auxiliary Partners is on an at-will basis. It can be terminated by either an employee or Toro Auxiliary Partners at any time with or without cause or advanced notice. Permanent status can neither be obtained nor granted.
This position is full-time, exempt, benefited, plus employer-sponsored health, dental, vision, life insurance, retirement, and sick/vacation pay.
Annual Salary: $70,304.00
Essential Duties and Responsibilities
Reporting & Compliance
- Maintains high quality, regular reporting and communication with the Administrative Director/Program Manager.
- Tracks reporting deadlines and compliance requirements.
- Maintains audit-ready documentation.
- Supports audits and program reviews.
- Per the direction of the Administrative Director/Program Manager may attend CA Volunteer scheduled check-ins.
Fiscal Tracking & Budget Support
- Tracks program expenditures and stipend allocations.
- Monitors allowable expenses per California College Corps guidelines.
- Works with the Budget Analyst providing required documentation and information for accurate reporting support.
- Timesheets & Service Hours
- Reviews student timesheets for accuracy, compliance and approval.
- Tracks service hours toward program requirements.
- Identifies discrepancies and coordinates resolution with Program Coordinator.
- Ensures timely processing of approved hours.
Financial Aid & Disbursement Coordination
- Coordinates stipend or scholarship disbursement processes with Financial Aid
- Tracks and confirms disbursement timelines.
Agreements & Compliance Documentation
- Maintains official records of MOUs, site agreements, and compliance documents.
- Ensures documentation meets institutional and state requirements.
Operational Systems & Processes
- Under the leadership and guidance of the Administrative Director/Program Manager supports development of and updates standard operating procedures (SOPs).
- Supports continuous process improvement.
Required Qualifications
- Bachelor’s degree or equivalent experience.
- Experience in program operations, data management, or compliance.
- Strong attention to detail and analytical skills.
- Ability to manage confidential and sensitive information.
- Experience working across campus administrative units.
Preferred Qualifications
- Experience with California College Corps, AmeriCorps, or other public service programs.
- Familiarity with financial aid or student disbursement processes.
- Experience with compliance reporting and audits.

- No disbursement delays caused by internal processing errors
Timesheet Processing
- 95%+ of timesheets reviewed and processed within established timelines
- All discrepancies resolved prior to disbursement
Operational Efficiency
- SOPs followed, maintained and updated per Administrative Director
- Demonstrated improvements in operational workflow
