Position Summary

The Program Coordinator plays a central role in the day-to-day operation of the TRIO SSS program, with primary responsibility for planning, coordinating, and facilitating the workshops, events, and programmatic activities that support participant success. The Coordinator designs and delivers workshops on topics such as academic skill-building, financial literacy, career and graduate school exploration, and personal development; organizes cultural and campus enrichment events; and coordinates program-wide activities such as orientation, recognition ceremonies, and off-campus trips. The Coordinator is also responsible for collecting, entering, and maintaining participant data and outcome assessments to support grant compliance and program evaluation, and serves as a primary point of contact for participants, providing responsive, high-quality customer service. This position works under the general direction of the Director and collaborates closely with SSS advisors, tutors, and campus partners.

This is a full-time, benefited, onsite position with an hourly rate of $30.00.

Duties and Responsibilities

Workshop, Event, and Program Coordination

  • Plan, develop, and facilitate workshops and skill-building sessions for participants covering topics such as study skills, time management, financial literacy, financial aid and scholarship processes, career exploration, graduate school preparation, and college readiness and enrollment.
  • Design and coordinate program events and activities, including orientation, recognition and graduation ceremonies, cultural enrichment trips, campus activities, and social/community-building events, from concept through execution.
  • Manage event logistics including scheduling, facility and room reservations, catering, transportation arrangements, invitations, RSVPs, and on-site setup and staffing.
  • Develop and maintain an annual workshop and events calendar aligned with grant objectives and participant needs, adjusting programming based on participation trends and feedback.
  • Recruit, train, and coordinate peer mentors, guest speakers, presenters, and campus/community partners to support workshops and events.
  • Promote workshops and events through email, social media, flyers, the program website/learning management system, and direct outreach to maximize participant engagement.
  • Evaluate the effectiveness of workshops and events through participant feedback and outcome data, and use findings to improve future programming.

Data Collection, Assessment, and Reporting

  • Collect, enter, and maintain accurate participant data in program databases (e.g., Blumen, TRIO software, or institutional systems), including attendance, workshop participation, academic progress, and service contacts.
  • Administer and track participant needs assessments, satisfaction surveys, and outcome assessments to measure progress toward grant objectives (retention, good academic standing, persistence, and graduation/transfer rates).
  • Maintain up-to-date, compliant participant files and documentation in accordance with federal TRIO grant requirements and institutional record-keeping policies, including FERPA.
  • Prepare regular reports summarizing workshop attendance, event participation, and program outcomes for the Director and for the U.S. Department of Education Annual Performance Report (APR).
  • Assist with program evaluation activities and continuous improvement efforts based on assessment data.

Participant and Customer Service

  • Serve as a welcoming, responsive first point of contact for prospective and current participants, faculty, and staff, in person, by phone, and by email.
  • Provide accurate information about program services, eligibility, workshops, and events, and resolve participant questions or concerns promptly and professionally.
  • Support participant recruitment and intake, including verifying eligibility documentation and processing applications.
  • Build positive, trust-based relationships with participants to encourage sustained engagement with program services.
  • Model and promote a professional, inclusive, and supportive program environment for a first-generation, low-income, and/or disability-served student population.

Administrative and Program Support

  • Provide general administrative support to the Director and SSS staff, including correspondence, meeting scheduling, and maintenance of meeting minutes.
  • Assist with monitoring and tracking budget expenditures related to workshops, events, and program activities.
  • Maintain and regularly update the program website, Canvas shell, and social media channels with current, accurate content to keep participants and campus partners informed.
  • Support the hiring, onboarding, and training of student workers, peer mentors, or tutors as assigned.
  • Represent Educational Partnerships at campus events when needed, serving as a program liaison to promote TRIO SSS and connect with prospective participants and campus partners.
  • Ensure program activities comply with U.S. Department of Education TRIO regulations and institutional policy, and support grant audits and site visits as needed.
  • Perform other duties as assigned in support of the TRIO SSS program mission and objectives.

Minimum Qualifications and Experience

  • Bachelor's degree from an accredited institution required; degree in education, counseling, social work, higher education administration, or a related field preferred.
  • One to three years of experience in program coordination, event planning, student services, or a related field; experience with TRIO or other federal/state grant-funded programs strongly preferred.
  • Demonstrated experience planning and facilitating workshops, trainings, or group presentations.
  • Experience working with low-income, first-generation, and/or students with disabilities preferred.
